What we do
with your information

The Barn at Upcote is committed to protecting your privacy. This policy explains what personal information we collect when you contact us, why we collect it, and how we look after it. If anything here isn't clear, drop us an email at enquiries@thebarnatupcote.co.uk and we'll happily explain.

Who
we are

The Barn at Upcote is a family-run wedding venue in Withington, Cheltenham, Gloucestershire GL54 4BL. We act as the data controller for any personal information you share with us. What
we collect

When you fill in the contact form on this site, we collect your name, your email address, your phone number if you choose to provide it, and the contents of your message including any wedding details you share with us. We do not use any analytics or tracking cookies on this site.

Section 3

Why
we collect it

We use the information you share with us solely to respond to your enquiry, arrange viewings or further conversations, send you information about the venue that you've specifically asked for, and keep records of past correspondence so we can pick up where we left off if you contact us again. Our lawful basis for processing your information is legitimate interest under UK GDPR — specifically, our interest in running our venue and responding to people who get in touch with us about it.

Where
it's stored

Form submissions are processed by Netlify, our hosting provider, and stored in their Forms dashboard. We also receive each submission by email. Both are protected by access controls and encryption in transit. We do not share your information with third parties for marketing purposes and we do not sell it. The only people who see it are the small team running The Barn at Upcote.

Section 5

How long
we keep it

We keep enquiry correspondence for up to three years after our last contact with you, after which it is deleted. If you go on to book your wedding with us, we keep records relating to the booking for longer in line with HMRC and insurance requirements — typically six years after the date of the event.

Your
rights

Under UK GDPR you have the right to ask what information we hold about you, ask us to correct anything that is wrong, ask us to delete your information (subject to any legal retention requirements), and object to or withdraw your consent for our processing. To exercise any of these rights, email us at enquiries@thebarnatupcote.co.uk and we'll respond within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Section 7

Cookies
and tracking

This site does not set any tracking cookies of its own and does not use analytics. If you submit the contact form, Netlify may set short-lived security cookies to prevent spam — these are strictly necessary for the form to work and do not require your consent under PECR.

Changes
to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last revised. If we make significant changes that affect how we handle your information, we'll add a clear notice to this page.
